Privacy Policy

1. Introduction

 

1.1. Greener Hours is dedicated to protecting your privacy. It is important to us that you are aware of what information we collect about you, how it is collected and how we use your personal data, in connection with your use of the Greener Hours app (hereinafter referred to as the “service”). This Privacy Policy explains just that. It also describes your rights towards us and how to exercise them.

 

1.2. It is important that you read and understand this Privacy Policy before using the service. By using the service, you accept this Privacy Policy and our processing of your personal data.

 

2. Controller

 

2.1. In this policy “Greener Hours”, “we”, “us” and “our” refer to Greener Hours Limited, who is the controller and responsible for your personal data. We are subject to England and Wales data protection legislation, including the General Data Protection Regulation (GDPR).

 

3. Personal information we collect

 

3.1. Information you give us: We receive and store any information you provide to us. For example, we collect personal information such as your name, address, mobile phone number and email address, when you register a user account in the service. Some information may also have been given to us prior to your registration in the service, due to your contractual relationship with us. We also collect information you provide to us regarding your household, such as the type of domestic appliances you might own, number of people in your household and similar. You can choose not to provide us with certain information, but this might make certain features of the service unavailable to you.

 

3.2. Information we collect about you: When you use the service, if you commit to use the Greener Hours, we may collect information about the frequency and type of your domestic appliance use. We do this to improve our service to you, and provide access to relevant additional services related to clean energy. You can remove your consent for us to collect granular data from you at any time, although please note that this may limit the functionality of this service for you. We may also collect data from sensors & devices connected to the service or information asked for in the service, including type of household, post code,  and current tariff information, which enables us to use things like local weather forecasts to enhance your service. We may also collect information about your use of the service, e.g. how you use the service, including page response times and settings.

 

4. What we do with your personal information

 

Greener Hours processes personal data for the following purposes and based on the following legal bases:

 

4.1. To register your account: We will process your personal data in order to create your user account. The legal basis for this processing (i.e. why the data processing is necessary) is to enter into a contractual relationship with you regarding the service.

 

4.2. To provide the service to you: We will process data related to your household and appliance use, in order to provide you with information and analysis regarding your electricity usage. The legal basis for this processing is to fulfil our contractual obligations towards you and to allow you to make the most use of this service. You can restrict the amount and detail of the information you supply to us, although this may limit the functionality of the service.

 

4.3. To communicate with you: We may use your personal data to send you alerts or service messages regarding your electricity usage. We may also use your data to send you important information regarding the service. We do this pursuant to our contractual obligations towards you and to allow you to make the most use of this service. However, if you do not wish to receive such alerts or messages, you may turn off notifications in your account settings.

 

4.4. To contact you about services or products: We may use your personal data to send you alerts and other communications about services and products we think might be of interest to you. We will only contact you about things we think are relevant to you, for example tariffs that we think suit your domestic appliance use patterns and would help you reduce your carbon footprint. We will only use your personal data in this way if you have given us prior consent to do so. 

 

4.5. To develop and improve the service: We may use aggregated and anonymised data to develop and improve the service. This may involve sharing data with our software design agency who would access your data, anonymise and/or aggregate it and utilise it for the continued improvement of the service, including troubleshooting, data analysis, testing, research and statistical purposes. The legal basis for this processing is to fulfil our contractual obligations towards you and to pursue legitimate interests.

 

5. Information we share

 

5.1. We may transfer to or share your personal data with our suppliers and subcontractors for the performance of our contractual obligations with you and for the other purposes described in this Privacy Policy. We require all third parties to respect the security of your personal data and to treat it in accordance with the law and we do not allow them to use your personal data for their own purposes. We have contractual arrangements in place with all of our processors which underpin their obligations with regards to how they handle your personal data on our behalf. Our suppliers and subcontractors are not authorised by us to use or disclose your personal data except as explicitly instructed by us and as necessary to perform services on our behalf or to comply with legal requirements. We have also put in place due diligence and quality processes to ensure that they employ best practice with regards to data protection.

 

5.2. In addition, we may disclose information about you if we are required to do so by law or legal process, or to law enforcement agencies following an appropriate request.

 

5.3. Please note that we will not sell your personal details to third parties.

 

6. Where we store your personal data

 

6.1. We always strive to process your data within the United Kingdom and the EU/EEA. The data may however in certain situations be transferred to, and processed in, a destination outside of the UK/EU/EEA by a supplier or subcontractor. In such cases, Greener Hours will take all reasonable legal, technical, and organisational measures to ensure that your data is treated securely and with an adequate level of protection compared to and in line with at least the level of protection offered within the EU/EEA.

 

7. How long we keep your personal data

 

7.1. We keep your data only as long as necessary to fulfil our contractual obligations towards you, i.e. for as long as you have an active account for use of the service. However, we may keep your data for a longer period if we are required to do so by applicable statutory retention periods.

 

8. Cookies

 

8.1. Like many companies, we use “cookies” and similar technologies. Cookies and similar are only used to save your account settings (eg. location settings, email, password or notification settings) and to track your use of the service, to get a better picture on how we can improve the service.

 

9. Your rights

 

9.1. Under relevant data protection law you are entitled to certain rights in relation to your personal data. We have included details about these below. If you would like to find out more about the circumstances when you can exercise these rights get in touch with us by contacting Greener Hours (details provided at the end of this Notice). In most cases you will not have to pay a fee to access your personal data or to exercise any of the other rights. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive.

 

9.2. You have the right to know what personal data we process about you and may request a copy of this information. You are also entitled to have incorrect data about you corrected and you may in some cases ask us to delete your personal data, for example if the personal data is no longer necessary for the purpose it was collected. You may also object to certain personal data about you being processed and request that processing of your personal data is limited. Please note that limitation or deletion of personal data may result in that we cannot provide the service to you. You also have the right to receive your personal data in a machine-readable format and have the data transferred to another party responsible for data processing.

 

9.3. If we rely on consent to process your personal data for a certain purpose, you can withdraw this consent at any time. If you do this and we determine that we have another lawful reason for processing your data we will not do so without informing you. If you withdraw your consent, we may be unable to provide certain products and services to you, and we will endeavour to advise you of this at the time you withdraw consent.

 

10. Security

 

10.1. We want you to be confident about how we manage appropriate technical and organisational measures to ensure your data is kept secure. These measures include organisational policies, physical and technical procedures which aim to prevent your personal data from being accidentally lost or processed, altered or disclosed in an unauthorised way. On a regular basis we undertake an analysis of the risks presented by our processing, and use this to assess whether our systems are supported by an appropriate level of security.

 

10.2. Our business operates on a “needs to know” basis, so colleagues, agents, contractors other third parties only have access to your data in as much as this is required for them to carry out their roles and to enable us to fulfil our obligations to you and meet our regulatory and legal duties. They will only handle your personal data on our instruction and they are subject to a duty of confidentiality.

 

11. Updates to our Privacy Policy

 

11.1. This Privacy Policy may be updated periodically to reflect changes in the service or our collection and use of your personal data. We will notify you of any significant changes to our Privacy Policy and indicate at the bottom of the Privacy Policy when it was most recently updated.

12.3. You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO) the UK supervisory authority for data protection issues. Protecting your data

This privacy notice only applies to surveys and data collection by Greener Hours Ltd (‘Greener Hours’). Greener Hours is responsible for holding and keeping  your personal information in compliance with data protection law.

Personal information Greener Hours collects

Greener Hours collects personal information from you if you choose to participate in a survey, submit a form or take part in its application development user testing (user testing).

Greener Hours collects the following types of personal information (where applicable):

  • Your responses to survey questions and form fields

  • Your IP address

  • The date and time when you took a survey or submitted the form

  • Usage data within the Greener Hours test app (i.e. usage of tested functionality and features)

  • Contact details which you may provide, such as your email address or Greener Hours “house name”.

 

Purpose of processing data

Data collected by Greener Hours as part of its user testing process is anonymised. The anonymised survey and use data will be used to gain insight into the behaviour, preferences and opinions of participants. These insights will be used to inform the design of new services and improvements to existing services, and to set benchmark satisfaction scores allowing us to compare past levels of satisfaction in future product development.

Your email address will only be used for the purpose you have selected.

 

Where personal information is processed and stored

Your personal information may be stored and/or processed in the UK or any country where Greener Hours maintains facilities. 

We enter into standard contractual clauses approved by the European Commission with our international group companies to ensure the safe transfer of your personal information.

 

Retention Period (How long we use and hold your data for)

Anonymised survey data will be kept for the purposes of analysing the data for an indeterminate amount of time (until we no longer need it). Generally we won’t retain personal data for more than two years from the last date you interacted with Greener Hours.

 

Sweepstakes

Greener Hours is running a sweepstake in March/April 2021 that may request personal information from you including your:

- Name

- Email address

- Phone number

- Postcode/Address

 

This personal information may be accompanied by questions relating to your opinion of features on our app/website as well as our app/website as a whole.

 

The personal information we collect is used to contact you in the event that you are selected to win a prize from the sweepstakes.

 

We do not sell or otherwise share the information you provide to us via sweepstakes. This information is only used internally to compile anonymous statistics about our user base and to create a contact list for sending special offers and marketing material.

 

You can choose not to include some of the information requested, but some of it is required (usually name and email address as a minimum so that we can contact the winner).

 

You have the right to not provide the information requested or can simply not enter our sweepstakes if you do not wish to provide us with your personal information.

 

All data collected by our sweepstakes is protected by the same security measures and procedures as the rest of the data we collect and process on our website. If you have any questions or concerns, please contact us via the email address provided below.

 

Your rights

Greener Hours is happy to assist you in exercising your rights under data protection law. Please bear in mind that the data we collect typically contains very limited personal data.  In the event that there isn’t sufficient data to identify your unique response, we may not be able to complete the request.

  • Find out what kind of personal information Greener Hours holds about you and what we do with that information.

  • Get a copy of the personal information which Greener Hours holds about you.

  • Have Greener Hours update or correct any inaccurate personal information.

  • Receive a copy of the information which you have provided to us in a form which makes it easy for you to give this information to a different organisation.

  • Take back your consent to Greener Hours using your personal information and to have your information deleted (please note, if you take back your consent, this will not affect our use of your personal information before you notified us that you no longer consent).

  • Stop Greener Hours from using your personal data if you believe that the personal information we hold about you is incorrect or our use of your information is unlawful.

Greener Hours may occasionally update this privacy notice to reflect customer feedback and changes in its business or to comply with applicable laws and regulations. If there are material changes to this privacy notice concerning how Greener Hours will handle your personal information, Greener Hours will notify you either by prominently posting a notice of such changes before they take effect or by directly sending you a notification, when possible.
